Terms and Conditions

 

Definitions

“Camper” relates to the vehicle which has been hired under the terms of the Rental Agreement and any substitution vehicle that has been supplied under those terms.  All items supplied with the vehicle including but not limited to spare tire, fire extinguisher, vehicle documentation and any items supplied as part of the basic vehicle inventory including cooking and dining ware, cleaning supplies or outdoor chairs.
“Rental Agreement” is the document signed by the renter on collection of the camper detailing the rental period as well as the full details for the renter and their vehicle.
“Rental Period” relates to the date and time of the rental to the agreed upon date and return time and the time that the renter legally has possession of the vehicle unless previous arrangements with S’more Camping LLC has been made
“Security Deposit” is the amount held at the start of the rental period for any purpose as listed under the Security Deposit section
“Renter” is the person who signs the rental agreement and is liable to the terms and conditions

 

Reservations

A 25 percent refundable deposit will be required to confirm the reservation which will be deducted from the total charge providing the rental start date is more than 10 weeks away, otherwise the deposit is non refundable.
A reservation is only confirmed once the customer has received a booking confirmation from S’more Camping LLC.
All outstanding balances must be paid no later than 4 weeks prior to collection. If a booking is not paid in this time it will be cancelled and the 25 percent deposit will be non-refundable. If the rental is still required, a 2 percent interest on the balance will be added daily until the outstanding balance is paid.
Payment of the reservation declares that you have read and agree to all the terms and conditions as stated in this document.
All payments for rentals must be paid by card or bank transfer unless otherwise agreed upon with S’more Camping LLC.
Any changes to the rental booking, within 4 weeks of the rental date, will be charged a $50 dollar change fee
All payments are made in USD.  S’more Camping LLC is not held liable for any changes in the exchange rate or for any charges applied by the payment provider.
The renter must inform S’more Camping LLC if they wish to take the camper into Canada and pay the additional charge for doing so of $10 dollars per day


Security Deposit

On collection of the camper, a security deposit of 65 percent of rental fee is required by credit or debit card. These funds will only be held in the event of the camper not being returned in the same condition that it was rented in.
In the event that the conditions are not acceptable, the following charges will apply:
Fridge/Cupboards not emptied
$25
Unclean Cooking Equipment
$50
Unclean Living Area
$50
Smoking in the Vehicle
$300
Late Return
1 hour late is no penalty then $50 dollars per hour after.  After 5 hours is forfeit of the security deposit unless otherwise agreed upon with S’more Camping LLC
Any damages found during the vehicle return inspection will be charged accordingly.
The security deposit will be held in case of any incidents with the camper. In the event of an incident occurring, the security deposit will be retained immediately and a further analysis will be required for the rental to continue.


Inclement Weather

S’more Camping is not responsible in the event of any damage or inconvenience caused by inclement weather.  This includes but is not limited to awnings or windows being blown off.  The power awning on the camper is a very fragile component and must be treated with care.  The awning must be rolled completely in if winds are over 10 miles per hour or there is any type of precipitation that could cause water pooling or damage to the awning.

 

Cancellations

If S’more Camping LLC has to cancel the reservation, the full paid amount will be refunded.
In the event of a cancellation by the customer, the following fees will apply-
Greater than 10 weeks is a full refund
Greater than 4 weeks before the start date of the rental is a loss of the 25 percent deposit
Between 2 and 4 weeks before the start date of the rental is a  50% of total rental charge
Two weeks or less or if no one shows up is a loss of all money paid for the rental
All cancellations must be submitted in emailed to ryan@s-morecamping.com or verbally on the phone to (802)825-5829.  Voicemails are not an acceptable cancellation

 

Collection of Camper

The collection of the camper is at 2pm, unless otherwise agreed with S’more Camping LLC.  
On collection of the camper, the renter and any other drivers must present the following-
Driving license held for at leas 2 years
Proof of Address, documents can be:  A piece of mail with your name on it.  For example utility bills, bank statements, credit card statement, and other documents of this nature
The name and address on the license must match the name and address on the other documents 
International customers are welcomed to rent but will need to provide a passport or equal
If the documents are not supplied it be implied that the renter no longer wants to rent and all paid moneys will not be refunded
The renter accepts liability for all other drivers of the camper and it is their responsibility to ensure that no one other than the approved drivers operate the tow vehicle of the camper
The renter acknowledges delivery of the camper and the contents free from any defect or damage and complete other than as specified by S’more Camping LLC. The renter is recommended to check the camper thoroughly before leaving the collection point and any damage found is recorded on the signed Rental Agreement before proceeding with the rental
S’more Camping LLC will have your camper ready for the collection time stated, although, there are no guarantees that it will be ready due to unknown issues.  If the camper is not ready at the pre determined time, S’more Camping LLC are not required to offer any refunds or additional return time nor any type compensations for pre-booked events etc.. 
The camper must still be returned at the stated time.


Renter Requirements

Must be over the age of 25.
Must have held a driving license for a minimum of 2 years.
Must not have any medical conditions that would be considered to affect driving capabilities.
Must not have had any insurance declined or cancelled by the policy holder.
Must not have more than 6 points on their license for any traffic infractions.
Must not have had license revoked in the past 5 years
Other license holders may be considered on a case by case basis and may require additional costs and security deposit.

 

Camper Keys

The hirer will be issued with one set of keys at the start of the rental, it is the hirers responsibility to ensure they are kept safe at all times.  If they are lost it will be a $100 dollar forfeit of the security deposit
S’more Camping LLC will not be responsible for any third party damages or claims in connection with or as a consequence of any accident or breakdown.
Every effort is made to ensure the hire camper is in a roadworthy and safe condition before the commencement of the hire. S’more Camping LLC shall not be liable for any consequences arising from any defects or mechanical failure of the camper when all reasonable precautions have been taken to prevent such occurrences.
2 propane cylinders are supplied with the camper. If additional gas is required, it is the hirer’s responsibility for the cost.
The hirer is responsible for the payment of any toll road charges as defined by the toll road authority.

 

Changing Campers

S’more Camping LLC will do everything to provide the camper as booked, however, in any instances out with our control, we reserve the right to offer a substitute vehicle subject to all the terms and conditions of the agreement. If the substitute vehicle is in a lower tariff, the difference of the rental costs will be refunded, if it is in the same or higher tariff, there will be no refund and also no additional charge.
S’more Camping LLC will not be held liable for any additional costs that may arise due to the substitution of the camper, this includes but is not limited to ferry crossings, campsite fees etc..

 

Breakdowns

All campers supplied by S’more Camping LLC are checked prior to the start of each rental.  
In the event of a mechanical breakdown, please contact S’more Camping LLC, as soon as possible, at (802)825-5829 to locate a qualified technician to complete the repair
S’more Camping LLC will refund the renter for reasonable costs incurred up to $50 which must have a valid receipt provided on return.  Any costs over $50 must be authorized by S’more Camping LLC prior to the expense.  Any costs not authorized will be at the expense of the customer.
S’more Camping LLC will not be held liable for any additional costs incurred for hotels, replacement vehicles or expenses as a result of any breakdown.
Any breakdown that is deemed to be operator error, will be at the cost of the renter.


Accidents

In the event of the camper being involved in an accident, however small, the full details must be filled out on an Accident Report Form which is included in the camper.
S’more Camping LLC requires the renter to complete the following in the event of an accident
Notifying the police immediately if there is property damage or if people are injured and in order to determine fault for insurance purposes.
Not admitting any guilt or liability.
Obtaining names and addresses of everyone involved and witnesses.
Not abandoning the camper
Notifying S’more Camping LLC immediately of any loss or damage occurring to the camper and of any fault. Please indicate if the camper is not roadworthy or is liable to cause danger to any person or property.
The camper should not be used until the damage has been repaired, corrected and fault determined.
The renter is liable for any and all overhead damage however caused.
All incidents related to tires including punctures are the renter’s responsibility.
Responsibility for damage to the contents of the camper while on a rental lies with the renter.
Personal possessions are not covered. The company shall not be liable for loss or damage to any property left, stored or transported by the renter or any other person in the camper either before or after the return to S’more Camping LLC. The renter agrees to hold S’more Camping LLC harmless from and indemnify S’more Camping LLC against all claims based upon or arising out of such loss or damage. 


Return of Camper

The camper must be returned by 11am unless otherwise arranged by renter and S’more Camping LLC, failure to return at the agreed upon time will result in a charge of $50 per hour after the first hour.  After 5 hours is loss of security deposit.
There is no refund for returning earlier.
On return, the camper will be given an initial check over to look for any apparent damage or missing articles, a full check will be carried out during the cleaning process. Any issues including cleanliness, damage, missing items, will be communicated prior to the charge being taken and an invoice supplied showing the costs of repair/replacement.
The security deposit will be returned within 7 days of the return of the camper less any charges as noted.
Providing there are no issues found when the vehicle has been checked, the security deposit will be released within 7 days. Once this has been processed, we have no control over the time it will take to appear back in your account. If you have not received it within 28 days after your return date, please contact us and we will assist on locating your refund.

 

Damage to the Camper

In the event that the camper is returned with damage, the cost will be charged at the retail price of the part plus the labor charge for replacing the part.
Any damage to the body will be sent for an estimate before any charge being made.
In the event that charges, including damage repairs and replacement exceed the level of security deposit paid, you will be charged any additional sum to cover this excess and that sum which will be due immediately at the end of the rental.

 

Pets

S’more Camping LLC welcome well behaved dogs into all of our campers, this is however at the choice of S’more Camping LLC and an extra non-refundable deposit will be requested to accommodate this. 


Smoking

Smoking is not permitted inside the camper, even with the windows or doors open.  $300 dollars will be held from security deposit in the event of smoking being evident.


Ending the Agreement

S’more Camping LLC will terminate this agreement immediately and retrieve the camper if we find out that your belongings have been taken away from you to pay off your debts, or a receiving order has been made against you.  We will also end this agreement and retrieve the camper if you do not meet any of the conditions of this agreement or have obtained the camper through fraud or misrepresentation, or the camper appears to be abandoned.  If you are a company, we will also end this agreement immediately and repossess the camper if you go into liquidation or you call a meeting of creditors.
If we end this agreement, it will not affect our right to receive any money we are owed under the conditions of this agreement.
